Position Summary:
The main responsibilities for the Order Specialist III position include auditing incoming orders, ensuring customer and order data is correct, and entering the orders into Oracle. The position includes interfacing with sales and other internal departments to resolve issues and answer inquiries as necessary.
This position is responsible to meeting or exceeding revenue targets as set by the business unit. The Order Specialist III is responsible for maintaining the required order work load and to meet or exceed published lead time goals. Depending on work assignments an Order Specialist III may also be assigned to various other work queues and internal projects.
Additionally, The Order Specialist III position is responsible for the development of fulfillment procedures which includes assisting in documenting workflows, testing those workflows and maintaining ongoing updates to workflows as applicable. The Order Specialist III will act as a subject matter expert when it comes to booking tools and will be expected to learn about new systems and processes where applicable.
Key Responsibilities:
Order Management/Auditing
:Review all incoming contracts and orders to ensure compliance with our contract and ordering process and guidelines, manage and track any exceptions, and verify billing is setup correctly.
:Enter orders into Oracle and create and maintain customer data in Grand Central.
:Provide timely and professional responses to internal and external customer requests via all communication methods.
:Prepare monthly Sarbanes Oxley detailed audits for review with appropriate management personnel.
:Manage difficult customer situations independently, foresee potential issues, and escalate to management accordingly to track to a successful outcome.
:Maintain expert knowledge of CDK Global's contract terms and conditions, policies, procedures and systems as related to contracts, data administration, order fulfillment and billing.
:Maintain advanced understanding of Sarbanes Oxley and CDK Global's processes to ensure compliancy
Workload Management
:Submit all approved contracts and entered orders to the appropriate order queues for booking and fulfillment, paying special attention to ensure order fulfillment lead times are met.
:Follow all fulfillment policies, processes and work instructions to ensure consistency, quality, and Sarbanes Oxley compliance.
:Complete ongoing training on new products, services and processes.
:Provide assistance with special projects as required.
Cross Functional Teaming/Coordination
:Ensure all customer data is correct prior to entering orders. Work closely with sales, customer data team, and the dealer to resolve customer data discrepancies.
:Interact with Sales, Sales Operations, and other internal departments and management in order to manage and escalate issues and resolve them in a timely manner.
:As needed provide training and mentoring to new employees.
:Manage difficult customer situations independently, foresee potential issues, and escalate to management accordingly to track to a successful outcome.
